Getting Started
Before diving into the specific reports, here are a few key things to know about how your dashboard works.
Viewing Reports by Lab Partner
Your dashboard data is specific to the lab you currently have selected in SpecCheck. To view reports for a different lab partner, use the “Switch Lab” toggle at the top of the page to select the desired lab (learn more here). Once your dashboard refreshes, go back into the Reporting tab. The dashboard will now display data for the newly selected lab.
Using the Interactive Filters
The true power of the dashboard lies in the interactive filters located at the top of every page. These filters allow you to drill down into your data with precision.
Date Ranges: Click the date filter to select a preset range (like Last 30 Days or This Week) or choose a custom range to select specific start and end dates.
Drill-Down Filters: Use the other dropdown filters to further refine your reports by specific criteria relevant to the charts on the page.
Invoice Filter: To use this filter, input values in cents. Said differently, multiply dollar values by 100 to use the filter.
For example, if you're searching for an invoice that costs $56.28, you could input '5600' and '5700' into the filter to find it.
Any filter you apply will automatically update all reports across all five tabs, allowing you to seamlessly move between high-level and granular views of the same data set.
Things to Remember:
Your lab partner is the only entity who can provide you with official numbers for your business with them.
Data refreshes (generally) once per business day. We pull your data directly from your lab as it becomes available. Hover your cursor in the top right corner of each insight to download your results.
Current work in progress is not reflected in the dashboard. This is because order details are subject to change throughout the production process. As such, only orders that have shipped from the lab are displayed.
The Date filter on the dashboard reflects the date that orders were shipped from the lab, not the date they were created or placed. This is to ensure data integrity and consistency with the lab.
The dashboard reflects all of your orders, not just those submitted via SpecCheck's ordering tool.
You can minimize the left sidebar in your SpecCheck dashboard by clicking on the three horizontal lines in the top left corner to maximize viewing space.
Dashboard Tab Breakdown
Your Reporting Dashboard is organized into five distinct tabs, each designed to answer different questions about your business.
1. Overview
This tab provides a high-level, at-a-glance snapshot of your practice's key metrics and top-performing products. It's the perfect place to start for a quick health check of your business.
Order Volume: Charts displaying the number of orders submitted by day and by month.
Key Ratios: Your overall order redo percentage, a breakdown of orders by billing type (Private Pay vs. Insurance), and orders by Frame Handling.
Top Product Insights: A collection of "Top 5" lists to quickly see what's most popular with your patients, including:
Single Vision (SV) & Multifocal (MF) Lens Styles
Lens Materials
Lens Coatings
Lens Add-Ons
Operational Insights: See which day of the week is your busiest and which submission method (e.g., manual entry, integrated) you use most often.
2. Deep Dive
This is your ultimate data export tool. The Deep Dive tab contains a comprehensive table with every granular detail for every order within your selected filtering parameters. Once your tables have populated, you can export the data to a CSV file for further analysis, if needed.
General Order Details: Includes patient name, dates, billing type, vision type, invoice/tracking numbers, days in lab, and more.
Lens Order Details: A full breakdown of the Rx for both the left and right eye, including manufacturer, style, material, color, coating, all power values, PDs, heights, and tints.
Frame Order Details: Includes frame handling type, manufacturer, model, sizing (eye, bridge, temple), UPC, and edge type.
3. Product Utilization
This tab helps you understand your product mix and how it changes over time, allowing you to spot trends and make smarter inventory and purchasing decisions.
For each of the following product categories, you will see both your top products overall and a chart showing their usage trends over time:
Single Vision (SV) Lens Styles
Multifocal (MF) Lens Styles
Lens Materials
Lens Coatings
Lens Add-Ons
4. Performance
Use this tab to measure key efficiency and quality metrics for both your practice and your lab partner.
Redo Analysis: Track your overall redo percentage, see it trended by month, view redo rates by specific lens style, and analyze a breakdown of common redo reasons.
Turnaround Time: Monitor your average lab turn time and see how it trends month-by-month. You can also see a chart grouping orders by how many days they spent at the lab.
Product Opportunity Analysis: See your percentage of jobs that include Anti-Reflective (A/R) coatings and Photochromic lenses, trended by month, to spot opportunities for growth.
Practice Volume: View your average number of jobs submitted per day, broken down by month.
5. Invoice Checker
This tab is your go-to spot for quick financial lookups and shipment tracking. It provides a clean, searchable table of all your shipped orders and their associated invoices and tracking numbers.
Available Information: Date Shipped, Name on Order, Invoice Number, Invoice Total, Order Category, and Tracking Number.
Please Note:
Invoices and tracking numbers are only available once an order has been shipped by the lab. They will not appear for orders that are still in progress.
It takes time after an order is placed for invoices to become available. If an order has been marked as Shipped and you still can't find it, check the Last Updated On timestamp on the Order Details page on SpecCheck.
If the date displayed is the same as the current date, chances are you will have to wait until later that evening or the next morning for the invoice to be made available.
If an invoice is still missing after 24-48 hours, this means we did not receive any information for it from your lab partner. Please contact your lab partner for more information.
