What are Internal Office Notes?

Internal Office Notes allow you to write messages, comments, reminders, and other useful information about orders found on your SpecCheck dashboard. Located on the Order Details page, Internal Office Notes never expire and can be viewed by both the author of the note, as well as your colleagues at the office. Please keep in mind notes are in Early Access (learn more here), so your feedback and patience is appreciated as we roll out this new feature!

Internal Office Notes are NOT be visible to your lab partners. If you want to discuss something with the lab about the order, we recommend using Live Chat to begin a discussion with their Customer Service team (for participating lab partners).

Taking Advantage of Internal Office Notes

Internal Office Notes are a simple, easy, and effective way to work smarter, not harder. See below for a list of how these notes can be helpful.

  1. Adding additional information/context to orders. Add important details and contextual information related to the order that is not found elsewhere.

  2. Collaborating with your colleagues. While your lab partner cannot see the notes that you leave on an order, your colleagues can! Leave notes with useful information to provide context, updates, and insights to help your team at the office if they ever need to look up the order.

  3. Reminders. Need to remember an important detail or action item? Leave yourself a note to ensure you don't forget! You can delete the note once it's no longer needed.

  4. Recording customer feedback. Whether positive or negative, leave notes that express customer satisfaction with lens designs, coatings, frames, etc.

  5. Training & Quality Assurance. Document details for new colleagues or as part of training processes, i.e., “This order is a good example of how to handle edge cases.”

How do I utilize Internal Office Notes?

To add a note, simply click into the Internal Office Notes box on any Order Details page and begin to write your note. Please be aware that attachments like photos, videos, and PDFs are not yet supported.

Once you have written your note, press "Enter" to publish the note to the order. You will see a green "Success!" popup appear in the upper right corner of your SpecCheck dashboard, and the note will now appear on the Order Details page. Once published, a time stamp will be included at the bottom of the note.


Note: You can press "Ctrl+Enter" to add line breaks to your note.

If you are the author of a note, you will have the option to Edit or Delete the note after it has been published. To perform one of these actions, click on the "..." on the right side of the note and choose what action you want to perform.

Notes that are edited will be marked as "(Edited)" next to the time stamp. Notes that are deleted will simply disappear from the order. Please be aware that deleted notes are not stored anywhere. Once they are deleted, they are gone forever and not recoverable.

If an order has multiple notes, click where it says "+1 more..." (see example below) to view all the notes published to the order. If a note is lengthy, you will need to click on the down arrow in the bottom-right corner to view the entire note.
